Privacy Policy

Effective Date: September 1, 2026 • Version 2.1 • Applicable across GoViax Private Limited operations

1. Scope & Applicability

GoViax Private Limited (“GoViax”, “we”, “us”, or “our”) operates dedicated electric mobility subscriptions for corporate organisations, enterprises, and institutions.

This Privacy Policy details our operational data handling practices regarding information collected through our website (www.goviax.com), enterprise consultation channels, corporate service agreements, and during the provision of dedicated vehicle and chauffeur services. This policy adheres to the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection (DPDP) Act, 2023.

2. Categories of Information We Collect

We collect information strictly necessary to configure, operate, and bill your organization's dedicated vehicle arrangement:

  • Enterprise Contact Data: Name, corporate email address, business telephone number, designation, company name, office address, and GST registration number provided during fleet consultations or contracting.
  • Passenger Manifest Information: Names and contact numbers of authorized executives or corporate personnel assigned to dedicated vehicles for operational communication with chauffeurs.
  • Telematics & Geolocation Data: Real-time vehicle telematics including GPS coordinates, route transit logs, battery state of charge (SoC), charging event timestamps, and trip distances. This data is tied to the physical asset and not individual passenger biometric identities.
  • Billing & Transactional Records: Subscription invoices, payment receipt confirmations, bank transaction references, and monthly distance tallies for commercial reporting.
  • Digital Usage Data: Anonymized browser type, IP address, device telemetry, and page navigation patterns collected via technical cookies during website visits.

3. Purpose & Legal Basis of Processing

GoViax processes collected information solely for legitimate enterprise purposes:

Service Delivery

Assigning dedicated electric vehicles, managing daily chauffeur dispatch, route coordination, and scheduled maintenance replacement.

Fleet Safety & Tracking

Monitoring vehicle diagnostics, emergency roadside assistance, battery health optimization, and speed compliance for executive safety.

Consolidated Billing

Generating single monthly agreed subscription invoices, toll pass-through tallies, and input tax credit (ITC) compliant GST invoicing.

ESG & Emissions Auditing

Supplying audited kilometer reports and Scope 1/Scope 2 tailpipe reduction certificates for client corporate sustainability reporting.

4. Executive In-Cabin Confidentiality & Chauffeur NDAs

Strict Non-Disclosure Protocol

We understand that enterprise leadership conducts sensitive business, board discussions, and strategic telephone calls inside dedicated vehicles. Every GoViax chauffeur undergoes rigorous background clearance and executes a legally binding Non-Disclosure Agreement (NDA) as a mandatory condition of deployment. Chauffeurs are contractually barred from recording, discussing, or divulging any conversation, identity, itinerary, or material observed within the passenger cabin.

5. Telematics & Telemetry Handling

Our vehicles are equipped with factory and depot telematics to track battery charging efficiency, tire pressure, and transit safety. Telematics data is stored on encrypted servers in India. Real-time GPS location is accessible exclusively by our central dispatch team for logistics safety, breakdown response, and scheduled depot charging coordination.

6. Data Sharing & Third Parties

GoViax does not sell, rent, monetize, or trade client or passenger data under any circumstances. Data is shared only under the following restricted scenarios:

  • Depot & Service Partners: Authorized OEM service centers (e.g., Tata Motors, BYD, Hyundai) strictly for vehicle servicing and warranty repairs.
  • Statutory Compliance: Law enforcement or governmental transport authorities where legally mandated by valid summons or statutory transport regulations.
  • Enterprise Reporting: Summarized trip distance and electricity consumption data provided back to your corporate administration.

7. Security & Retention Protocols

We implement enterprise-grade technical safeguards including SSL/TLS 256-bit encryption for all data in transit, role-based access control, and firewalled database architectures.

Contractual and financial data is retained for a period of seven (7) years in accordance with statutory Indian taxation and corporate record-keeping mandates. Telematics trip trails are purged or anonymized within 90 days of trip completion unless required for active insurance claim investigations.

8. Your Statutory Rights

Subject to applicable Indian laws, authorized enterprise representatives and passengers hold the following rights:

  • The right to request access to personal data held by GoViax.
  • The right to rectify incomplete or inaccurate administrative records.
  • The right to withdraw consent for marketing or non-essential communications.
  • The right to request data erasure upon expiration or termination of service agreements, subject to legal retention obligations.
